Capitol Area Management Service, LLC
will act as the exclusive manager of the Association to
supervise the maintenance of the common elements of the
complex. We render general services and perform
duties under the supervision of the Association's Board
of Directors.
Our range of management services include:
Operational:
- Provide well maintained and
respectable properties.
- Ensure all
necessary repairs to common areas are achieved.
- Respond promptly
to requests for service.
- Provide a 24 hour
emergency maintenance number for common elements.
- Negotiate
contracts for services.
- Supervise all
sub-contractors who provide services.
- Hire &
supervise
on-site staff,
where required.
- Write
specifications for maintenance contracts.
Administrative:
- Attend Association
board meetings.
- Assist in the
development of Association rules and policies.
- Enforce
rules and
bylaws and make
recommendations
for
modifications.
- Send progressive
violation notices when necessary.
- Ensure the
proper Insurance
for common areas
is in effect at
all times.
- Provide the
association with access to a 24-7 website that will
quickly provide your members with accurate financial
data, repair services,
meeting agendas and minutes, newsletters, and
association calendars.
- Provide new
members with a welcome packet, including Association
policies and work order forms.
- Secure insurance
bids.
Financial:
- Maintain
Association's financial books and records in a
manner consistent with generally accepted accounting
principles.
- Collect monthly
co-owner maintenance fees.
- Notify Board of
delinquentcies.
- Pay valid
Association accounts for services.
- Prepare monthly
financial statements detailing monthly
disbursements, bank balances and current budgetary
position.
- Prepare and post
individual co-owner ledgers and notify the Board of
Directors of delinquent accounts.
- Receive and
deposit all Association fees, assessments and other
income.
- Assist the Board
in developing a long-term reserve fund plan.
- Annually review
the property and the existing long-term reserve fund
to make sure the amount budgeted is adequate to
cover projected needs.
- Transfer money
into the Association's reserve fund account.
- Prepare annual
budget for approval by the Board.
- Ensure that the
annual tax preparation and filing is completed by
the approved auditor.
- Present year end
financial statements.
